Delete duplicate contacts in Zoho CRM

Having a CRM free of duplicate records, it is incredibly valuable, so we must be very careful with the data we upload, and how we manage that data once captured.

We already know that the more leads, possible clients, contacts, etc. better, but you have to be careful, because as we grow in records in our CRM, also increase the chances that duplicates will be generated and our CRM stop being clean.

Now the important thing: how we can eliminate and/or avoid duplicates.

The best way to not have duplicates is to avoid them from the beginning, how do we do it? In the configuration area we will go to personalization, we will click on modules and fields, go to the specific module on which we want to perform the action, for example: Potential Clients, once there we will open the menu (3 points) and go to “duplicate checking preferences and enable checking using unique fields”, for this it will also be necessary to determine in the fields which will be unique e.g.: email, once a field has been marked as “único” can stop the creation of a duplicate record.

Important: you cannot have more than two fields as unique, so it is advisable to choose intelligently which fields deserve to be unique in each of our modules.

If you did not have unique fields enabled for data verification or despite this you have duplicate records in your CRM, don't worry, you have two options to locate those records:

1) Point Search: If we suspect that a specific record has been duplicated, the only thing we have to do is go to the module that interests us, open the record that we want to verify, click the button at the top right (3 points) there we will have the option "find and merge duplicates» we must select the criteria with which we want to carry out the search, after searching it will return the matches found if there were any, and already verifying that it is the same data, we would have to execute the action of combining on the contact that has been determined as duplicate.


2) Mass Search: If we want to check several records simultaneously, what we must do is go to the module where the records that we want to check are located, for example: Potential Clients, once there select the view on which I will perform the action, and in the view go to the menu (3 points), select the option “Deduplicate records” (automatically merge duplicates), in which it will be necessary to select (at most 3) criteria to carry out the deduplication, – in this massive option the duplicate users will be automatically combined, and it will only require manual action when there is any inconsistency in the data.
